Nobody books a venue by searching for a room name.
They type "dinner for 180, seated, with a dance floor". Or "a wedding for 150, most guests coming from the Sutherland Shire". Or "Christmas party for 60 near Parramatta".
We've spent the last year building AI concierges for venue and event businesses. Here's what that taught us about how people actually shop for a venue.
Planners describe the event, not the room
A search box can't turn "180 with dancing" into three named spaces across five venues. A conversation can.
Minimums matter as much as maximums
A room's capacity changes with the layout: banquet, cocktail, theatre, cabaret. And a ballroom that holds 270 is the wrong answer if its minimum is 170 and you have 150 guests. The real skill is saying "not that one" and explaining why.
Distance never beats fit
Guests' travel time matters, so the assistant should know which venue is closest. But if the closest venue has no room that fits, the honest answer is "this one's nearest, but these are the nearest that will work". That honesty is what builds trust.
Venues are a visual product
A text-only answer is a brochure with the photos torn out. Showing each recommended space with its photo made a bigger difference to how answers landed than any wording change we made.
Every conversation should end with a next step
That might be a shortlist, the right package or an enquiry. The best enquiry arrives with the occasion, date, guest numbers and venue already captured, so the events team can quote on the first call.
Up-selling works when it feels like advice
A beverage upgrade, a ceremony space or a better package tier, suggested at the right moment, every time. That's hard for a busy team to do at 9pm on a Sunday, which is exactly when many couples are planning.
Priorities change every season
In November it's Christmas parties; in autumn it's next year's weddings. The assistant should switch focus as quickly as the sales team does, without a rebuild.
The venues doing this well aren't replacing their events team. They're making sure that when a planner is ready, at any hour, someone helpful answers.
